Sharing Workspaces
All accounts initially start as trial accounts. Once you convert that to a paid subscription, you can add team members to your account, or users to specific workspaces with either view or edit access.
Type of Access
- Trial users cannot share workspaces.
- There are two types of access.
- View: can view plans in list, calendar & graph views, and export reports.
- Full: has complete access per the subscriber to the account except for account maintenance.
- Note that if the sharing user’s account expires, their plans and workspaces become unavailable to those users they were shared with.
Granting Access
- Workspaces can be shared with an unlimited number of Guests.
- Guests in turn cannot cannot copy, edit, archive, or share a shared workspace with other users.

- Select “Share from the menu from the right-hand side of the name of the workspace.

- Enter the user’s email address, select their access, and click “Add User”.
- The user now appears in the list of guest users.
- The guest user will receive a welcome email with a link to activate their account from.

- The number of users with access to the workspace is shown.

- Access to individual plans within a shared workspace cannot be revoked. If this is necessary, then:
- Revoke access to the workspace, then delete the plan or move it to another workspace before sharing the workspace again.
- New plans can be added to the shared workspace.
- Plans can be deleted from the shared workspace.

Receiving Shared Access
1. Once the guest accepts the invitation and sets up their account, shared workspaces appear under their “My Workspaces” menu, with the symbol indicating that the workspace is shared with them and managed by another user.

2. Working simultaneously on plans needs to be done carefully. Assuming all users are in the Transaction Builder tab:

- When one user makes an edit to a plan in a shared workspace, to have the change reflected in other users’ plans, click onto another tab (Plan Details is the easiest), then back to Transaction Builder, and the edit will be updated.
- Warning: the F5 key is often used to refresh a screen in websites. Using this key to update a shared plan runs the risk of repeating the last edit that that user made, so it’s recommended to not use F5.

Revoking Shared Access
1. At the sharing menu, select the “Remove User” option.
